The Podseeker Workflow
How is Podseeker different from a podcast database?
Podseeker is built around a complete podcast outreach workflow: discover → media list → pitch → follow-up. Instead of exporting podcast contacts into spreadsheets and managing everything manually, you can:
- Qualify shows before pitching
- Organize them into focused media lists
- Pitch in your own voice
- Track replies and follow-ups until each pitch reaches a clear outcome
It’s designed to replace disconnected tools, not just give you a list of shows.

Is Podseeker meant for mass or high-volume outreach?
No. Podseeker is built for editorial-first, relationship-driven PR work, not spray-and-pray automation. You review every pitch, control follow-ups, and decide when or if you want to scale volume. Most users start by pitching one podcast at a time and adopt batches only when it fits their workflow.
Can my team or assistant use Podseeker?
Yes. Podseeker supports team access with shared visibility across:
- Media lists
- Pitch history
- Follow-up status
This makes it easy to collaborate with teammates or virtual assistants while avoiding duplicate outreach.

Pitching & AI Assistance
Will AI change my writing or make pitches sound robotic?
No. Podseeker starts from your templates and your words. AI is used to adapt context, personalize details, and refine phrasing, not to replace your voice. You always review and approve every pitch before it’s sent.
Do emails send automatically?
No. Nothing is ever sent without your explicit review and approval. Podseeker is designed to support thoughtful outreach, not surprise automation.
Can I pitch one podcast at a time?
Yes. You can pitch:
- One podcast manually
- Small batches
- Larger lists when you’re ready
All workflows are supported without forcing you into campaigns.

Can I include links in my pitches?
Yes. Any URLs included in your templates or client profile (for example
{{client website}}) are sent as clickable links, just like a normal email.Podcast Data & Accuracy
How accurate is the audience size data?
Audience size is an estimate based on multiple public and proprietary signals. Like the rest of the industry, no platform has perfect listener counts. Podseeker focuses on relative accuracy, so you can compare shows and prioritize realistically rather than relying on exact numbers.
What does “verified contact” mean?
Verified contacts are email addresses checked through a multi-step process combining automated scans and human review. We prioritize contacts that are actively used for guest outreach so you don’t waste time pitching dormant inboxes.
Can I listen to episodes before pitching?
Yes. You can preview recent episodes directly in Podseeker to understand a show’s tone, topics, and guest style before reaching out.
Follow-Ups & Inbox Management
How is this different from managing outreach in my email inbox?
Your inbox shows messages. Podseeker shows decisions and next steps. Each pitch has:
- A clear status
- A visible next action
- Full conversation context
This makes it easier to move pitches forward without inbox anxiety or forgotten follow-ups.

Do follow-ups stop automatically if someone replies?
Yes. Any scheduled follow-ups are automatically canceled when a real reply comes in, so you never follow up on an active conversation by mistake.
What if a show isn’t ready to book yet?
You can snooze the pitch and return to it later. This lets you respect timing while keeping full context and history intact.
Email Integration & Security
What email permissions does Podseeker require?
Podseeker connects to Gmail or Microsoft 365 using each provider’s official OAuth process. We request permission to:
- Send emails you create in Podseeker
- Detect replies to those emails
- Display your sender name and address correctly
Podseeker does not read your general inbox, spam folder, drafts, calendar, contacts, or unrelated emails.
Is it secure to connect my email?
Yes. Podseeker uses official Google and Microsoft APIs and has passed required security reviews. We only track messages related to pitches you send through the platform.
Plans, Trials & Billing
How does the free trial work?
Podseeker offers a 7-day free trial with full access to the platform. A credit card is required to start the trial, but you won’t be charged if you cancel before it ends.
What counts as a “contact pitched”?
A contact counts once per podcast conversation. Replies and follow-ups within the same thread do not count toward your limit. A long back-and-forth with one show still counts as a single pitch.
Can I change my plan or cancel anytime?
Yes. Podseeker is a month-to-month subscription. You can upgrade, downgrade, or cancel at any time from your account settings.
How do I manage billing and invoices?
All billing is handled through Stripe. You can update payment details and download invoices from your account settings.
Data Licensing & Partnerships
Do you offer podcast data for platforms or internal tools?
Yes. We offer a separate data licensing product for companies that need access to a continuously updated podcast dataset for their own platform or research. For details or a sample, contact us and select “Data Partnerships.”
